Outlook - Encrypting Email

Before You Start

What is email encryption?

Email messages are often transmitted in “clear text”, meaning that any intermediate system handling the email could intercept and read the contents of the email and its attachments. Email encryption is a method of scrambling the contents of an email and its attachments to prevent snooping.

Microsoft’s email encryption feature further protects messages transmitted from a Clark University email account to non-Clark email accounts at other mail providers (like GMail, Yahoo, AOL, etc) by storing the message and its attachments on Microsoft servers. In order to access the encrypted message, the non-Clark email account receives a link to the message. This helps protect the message from theft if the non-Clark email account is compromised. Further, Clark maintains control over the contents of the message, allowing the sender to revoke access to the message in the future.

When should I use email encryption?

Email encryption should be used when transmitting sensitive information. It is authorized for handling Restricted and Confidential information as defined by the Clark University Data Classification Policy.

Encryption exceptions

Email transmitted from a non-Clark email account to a Clark email account is not necessarily encrypted nor protected. When transmitting an encrypted email to a non-Clark email account, a reply from the non-Clark email account should not assume to be secured. For this reason, it is best practice to use encrypted emails between Clark accounts preferentially. When communicating with a non-Clark email account, only communications from Clark accounts are protected.

It’s important to advise that non-Clark email accounts DO NOT send sensitive information to Clark accounts, since Clark cannot protect the transmission of those messages. Replies from non-Clark mailboxes are only protected when using the encrypted reply feature when viewing the encrypted message as described below.

Outlook for Mac and Windows

  1. Create a new email message

  2. Select “Options”

  3. Select the “Encrypt” padlock icon:

  4. You may be prompted for options, in which case select “Encrypt-only”

  5. Outlook may perform an “authenticating” step.

  6. Your email is now protected.

Outlook on the Web

  1. Create a new email message

  2. Select “Options” on the top menu

  3. Select the yellow padlock icon:

  4. Select “Encrypt”

  5. Your email is now protected.

Viewing encrypted email and protecting replies in non-Clark email accounts

  1. Click the “Read the message” link to view the protected message

  2. A new webpage will launch. Click “Sign in with a One-time passcode”.

  3. Copy the one-time code that was just sent to the non-Clark mailbox and paste into the code confirmation box.

  4. The encrypted message will appear.

  5. To reply to the message securely, select the desired reply method in the top-right. Options include Reply All, Reply, and Forward.

  6. A message creation form will be presented. Create your message as desired and click Send.
