Outlook - Opening Additional Mailboxes

Before You Start

  • Make sure you have access to the mailboxes you are attempting to open (check with the mailbox owner or the ITS Help Desk)

  • Connect to the internet.

  • Determine which version of Outlook you are using (Outlook for Windows, Outlook for Mac, or Outlook Web App).

Outlook for Windows

  1. Open the Outlook app and click File tab.

  2. Click Add Account.

  3. Enter the full email address of the mailbox.

    1. Example: helpdesk@clarku.edu

  4. Click Connect.

  5. You will be prompted for a password. Since shared mailboxes do not have passwords, click Sign in with another account.

  6. In the Microsoft sign in window, replace the mailbox email address with your full Clark email address.

    1. Example: Delete helpdesk@clarku.edu and replace with johndoe@clarku.edu

  7. Click Next.

  8. Enter your Clark account password.

  9. Click Sign in.

  10. You’ll see a message from Outlook reading “account successfully added.”

  11. Click Done.

  12. Close all Outlook windows and then reopen the application.

  13. The mailbox will now appear in the left pane of Outlook, below your Clark account inbox.

Outlook for Mac

  1. Open the Outlook app.

  2. On the toolbar across the top of your screen, click File, then select Open and Shared Mailbox.

  3. A small window will pop up. Type in the name of the mailbox in the search box at the top.

  4. Click on the correct email address, then click Add.

  5. Outlook will check permissions and then open the mailbox within the Outlook app.

Outlook Web App

  1. Navigate to your Outlook account.

  2. In the top right corner of your Outlook account, click on your picture or initials.

  1. Select Open another mailbox…

  2. Type in the email address of the group/departmental mailbox.

  3. Click Open. The mailbox will open in a new tab.
